Privacy Policy
How we look after your personal information — in plain English.
Last updated: 29 October 2026
Who we are
This website is run by Cosmic Computers Ltd (“we”, “us”), a company registered in England & Wales (company number 12372197), of 14a Down Lane, Bathampton, Bath BA2 6UE. We are the data controller for the personal information described in this policy. If you have any questions, email info@cosmiccomputers.co.uk or call 01225 805250.
What information we collect
- When you contact us — by our website form, email, phone or text: your name, email address, phone number, and whatever you tell us about your enquiry.
- When you become a customer — your address (for visits, collections and invoices), details of your equipment and the work we do, and payment records.
- Business IT support clients — names and contact details of staff we support, and technical information about your devices and network collected by our monitoring, antivirus and backup tools.
- When you visit this website — our web host keeps standard server logs (such as IP address, browser type and pages visited) for security and troubleshooting.
Data on your devices
When you hand us a computer, phone or drive, it may contain personal files. We only access what we need to diagnose and fix the problem. We never copy, keep or look through your personal files unless you ask us to — for example, during data recovery or when moving files to a new computer. Any temporary copies we make are securely deleted once the job is finished and you’ve confirmed you have everything you need.
How and why we use your information
- To reply to your enquiry and provide our services — because it’s necessary to take steps at your request before a contract, or to perform a contract with you.
- To invoice you and keep accounting records — because we’re legally required to.
- To keep our systems and this website secure — because it’s in our legitimate interests.
We do not use your details for marketing, and we never sell or rent your information.
Who we share it with
We only share information with trusted suppliers who help us run the business, under contracts that protect your data:
- Brevo — delivers messages sent through our website contact form to our inbox.
- Our email, website hosting and accounting providers.
- Remote monitoring, antivirus and cloud backup providers — for business IT support clients and backup customers only. Backup data is encrypted.
- Specialist partners — such as a clean-room data recovery laboratory, only if you agree to it.
- Authorities — only where the law requires it.
Some of these providers may store data outside the UK. Where they do, we make sure appropriate safeguards are in place (such as UK adequacy regulations or the International Data Transfer Agreement).
How long we keep it
- Enquiries that don’t lead to any work: up to 12 months.
- Customer and job records: 6 years after the end of the tax year they relate to, as required for accounting and tax purposes.
- Business IT support data: for the length of the contract, then deleted or returned to you.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct anything that’s wrong;
- ask us to delete your information (unless we have to keep it by law);
- object to, or ask us to restrict, how we use it;
- ask for your information in a portable format.
To use any of these rights, email info@cosmiccomputers.co.uk. We’ll respond within one month. If you’re unhappy with how we’ve handled your information, please tell us first — you also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
